Delivery Stops

What Are Delivery Stops?  

In Arryved Brewery Management (ABM), Delivery Stops are the destinations of a delivery Route. They’re created by the delivery addresses of the Invoices assigned to the Route. Additional Delivery Stops can also be added with a Task. Your ABM has the power to optimize the Route by arranging the Delivery Stops in the most efficient order. Using ABM mobile, drivers can manage their Routes, access Customer contact info, leave notes, and more while out on deliveries. Use this guide to learn how Delivery Stops work as part of the ABM sales process

Prerequisites

  • Delivery Stops are created after a Route is scheduled with at least one Invoice is added and a Vehicle is assigned to it. 
  • Picking must be completed before the Route starts for delivery. 

Limitations

  • A warning appears next to a Stop on the list if that Customer’s delivery schedule falls outside of the scheduled Route. 

How It Works


Schedule A Route

Delivery Stops are built within Routes. Once a Route is scheduled, its Delivery Stops are created from the delivery addresses on each Invoice. Picking is the next stage where the Inventory is loaded onto the Vehicle. 

After the Route has been Picked, the Delivery Stops can be managed on the Route’s STOPS tab. 

  1. Open the Route’s profile from the Routes page. 
  2. Click on the STOPS tab.

Adding Additional Delivery Stops 

If you made a last-minute sale you can create a New Invoice right from this page that’ll be added to this Route. 

You can also create a Task that’ll add a Stop to the Route. This is for Stops that don’t include a delivery of Inventory. For example, making a Stop to visit a Customer and check in on their draft lines. 

Optimizing Delivery Stops

Use the Optimize Stops button to arrange the Delivery Stops in the most efficient order. Use the vertical lines to the left of a Stop on the list to move it up and down if you want to customize the Route. However, your ABM allows you to complete the Stops in any order. Arranging the Stops in a logical order is simply for your convenience. 

Starting The Route

Once the driver is ready to take off they can start the Route, 

  1. From either the PICKING or the STOPS tabs, click the Start Route button in the upper right corner.
    • This moves the Route from the Picked state to the En route state. 

Managing & Completing Delivery Stops

Click on any Stop from the list to open its Stop Details window. Here you can find most information about the Stop and access tools to manage it. 

  1. Stop Details

In the Stop Details window, find the following information about the Stop:

    • The Description. This provides a name for the Stop and usually shows the Invoice number.
    • The Address.
    • Delivery Instructions written on the Invoice.
    • Delivery Windows that are defined on the Customer’s profile.
    • Number of Kegs that the Customer currently has from you.
    • The date of their Last Order (last Invoice).
    • Average Gross Order. This is the average spend from this Customer across all of their past Invoices.
  1. Navigate
    • Click the Navigate button to pull up the directions for this Stop via Google Maps. 
  1. View Customer 
    • Click the View Customer button to be taken to the Customer’s profile in your ABM if you need to view any additional information about the Customer. 
  1. Notes
    • Notes can be added to this Stop on this Route to record any necessary information that can be referred back to later. 
  1. Customer Contact
    • Any Customer Contacts listed on the Customer’s profile are present here on the Stop Details. Use the dropdown to select the contact you need. Then, use the Call, Text, or Email buttons to quickly reach out to that contact. 
  1. Cancel Stop
    • Click the Cancel to exit out of the popup window. 
  1. Skip Stop
    • Click the Skip Stop button if the delivery or visit can’t be completed for some reason. The Stop remains on the list marked as ‘Skipped’. If the driver attempts come back to the Stop later, click on the Stop, and click Reset Stop Status. This puts the Stop back in the ‘Upcoming’ state so it can be delivered. 
    • Inventory on a skipped Stop is available to sell to other Invoices in the same Route. After the Route is complete, the Inventory becomes available again for any use. 
  1. View Invoice 
    • Click the View Invoice button to be taken to the Invoice related to this Stop. Here you can make any necessary changes to this Invoice including adding or removing Items, adding a deposit, processing a return, changing the address, adding contact info, etc. 
    • Note: If adding Items to an Invoice that’s already En Route, you’re only able to select Items that are already on the same Vehicle from Stops that were skipped. 
  1. Deliver Invoice
    • Once the Stop has successfully been completed, the driver can click the Deliver Invoice button to mark this Stop as completed. 
    • This takes them to the Invoice where a digital signature can be collected and an email can be crafted and sent with the Invoice attached. The driver can then click Fulfill Invoice to fully complete the Stop. 

If using the ABM + QuickBooks sync, a matching invoice is generated to record this delivery and it can be used to match payments. 

Finalizing The Route

After all the Stops have been completed, skipped, or canceled, the Complete Route button becomes available. Click it to finalize the Route. 

  • Delivered Invoices move to a Fulfilled state.
  • Canceled or skipped Invoices move to a Reschedule state. 
  • Items on the delivered Invoices are removed from your Inventory. 
  • Items on canceled or skipped invoices are made available in your Inventory again. 

Managing Skipped Stops

  • Invoices from a skipped stop are sent into a Reschedule state.
  • Your ABM will attempt to return the Inventory back to the Inventory locations they came from. If the system can't determine the source, then it moves it to the Unloading Inventory Location
  • To ‘put away’ your Inventory in its proper Locations, Use the Inventory Adjustment tool.
